The WhatsApp bot: confirmations, reminders and buttons
The bot sends clients a confirmation for every booking and a reminder before it; they answer with a tap — coming, reschedule or cancel — and your calendar updates itself.
Bookly’s WhatsApp sends your clients a confirmation for every new booking, a reminder before the appointment and a review request after a completed visit. Messages come from Bookly’s number with your business’s name and details, in the client’s language when WhatsApp has it — otherwise in Hebrew. It isn’t a chat with clients: they answer with buttons, and for a real conversation they write to your business’s own WhatsApp.
Open the screen
MessagingBot settingsTurn on “WhatsApp bot on”. When it’s off, no WhatsApp messages go to clients; app notifications carry on.
Choose what goes out: “Instant confirmation of a new appointment”, “Reminders before the appointment” and “Review request after the visit”.
Click “Save”.
The ⓘ next to a setting shows the message the way clients see it on WhatsApp, with your business’s real details.
On the side of the page, under “How your clients see it”, are the messages themselves: the confirmation, the reminder, the reply to “I’m coming” and the review request.
What clients do with the buttons
Every reminder has three buttons. “I’m coming” marks the arrival as confirmed in your calendar. “Change time” sends a link to pick a new time when your business allows online changes, and otherwise points to your business’s WhatsApp. “Cancel” asks to confirm and then cancels by your cancellation rules; when it’s too late to cancel, the client gets your contact details. Clients can also write “my appointments” to get their upcoming ones. Anything else gets the bot’s menu — unless the AI assistant is on.
Updates to you
For every new booking and every cancellation you get a notification in the Bookly app. Bookly’s WhatsApp is for clients only and doesn’t message business owners.
At a branch, the bot settings come from the main business, and every change there reaches the branch too. Want different settings for a branch? Detach them on this screen, at the branch itself.
The guided tour is in the app
In the “Messages, reminders and the WhatsApp bot” chapter, the tour shows this on the screen itself, step by step.
Can I change the wording of the messages?
No. They’re fixed templates approved by WhatsApp, filled with your business’s and the appointment’s details. What you choose is which messages go out and when.
What happens when I turn the bot off?
No WhatsApp messages go to clients — no confirmations and no reminders. App notifications carry on.
Do the messages count toward the quota?
Yes. Every message that goes out counts toward your plan’s monthly quota, the bot’s replies to clients included. Details in the message quota.
Who can change the settings?
Only the business’s owner and managers.
