The calendar: day, week and a column per staff member
Reading and getting around the calendar: day, week and list views on a computer, the week strip and a column per staff member on the phone, staff filters, and what the marks mean.
The calendar is where the business’s day happens: every appointment, break and blocked time, in a separate column for each staff member, in their colour. Appointments clients book online land in it by themselves, and it’s where you book, move and cancel too.
In the menu, click “Calendar”.
Pick a view: “Day” — a column per staff member, “Week” — seven days side by side, or “List” — the appointments in order.
The arrows move a day (or a week) back and forth, “Today” brings you back, and the date field jumps to any day. In the week view, clicking a day opens it.
In the staff menu next to the buttons, pick one staff member’s calendar, or the whole team.
Clicking an appointment opens its details, and clicking an empty spot in the “Day” view books an appointment right there.
In a phone’s browser, the calendar opens in the “List” view, which suits a small screen. You can switch to “Day” or “Week” at any time.
What the calendar shows
Each appointment shows in the staff member’s colour, with the time, the client’s name and the service. A green tick means the client confirmed on WhatsApp that they’re coming, and the repeat sign (⟳) marks a recurring appointment. Breaks and blocked times — including events from a personal calendar that block hours — show as striped blocks. Cancelled appointments are hidden; you can show them with the switch above the calendar on a computer, or from the options button on the phone.
Who sees what
The owner, managers and anyone in the secretary role see the whole team’s calendars and book for everyone. A staff member sees and manages only their own calendar. Someone who only manages social media doesn’t work in the calendar.
No columns in the calendar? It shows active staff members with working hours. Add your team and their hours, and the calendar fills in.
The guided tour is in the app
In the “Calendar” chapter, the tour shows this on the screen itself, step by step.
A day shows as closed — can I still book on it?
Yes. On a day without opening hours you can book an appointment from the calendar yourself, and it will show there. Clients can’t book it online.
An event from my personal calendar shows in the calendar — how do I delete it?
Change or delete it in your own calendar (Google or the phone’s), and the calendar here updates by itself. See Calendar sync.
