Appointment reminders: when they go out and how to change them
Choose when clients get a WhatsApp reminder — from two days to one hour before the appointment. One reminder on Basic; up to two, with SMS backup, on Pro.
A reminder goes out for every appointment at the time you chose: two days, one day, 12, 6, 3 or 2 hours before, or one hour before. The default is one day before. On Basic each appointment gets one reminder; on Pro you can pick up to two, and when WhatsApp doesn’t reach the client an SMS goes instead.
Every reminder has “I’m coming”, “Change time” and “Cancel” buttons. A tap on “I’m coming” marks the arrival as confirmed in your calendar, and a new time or a cancellation updates the calendar by itself too.
Open the screen
MessagingBot settingsUnder “Reminders before the appointment”, click the times you want. A highlighted time is sent; click it again to remove it.
Click “Save”.
The “Calendar & appointments” screen has a shortcut to the reminders too: the “WhatsApp reminders” row at the bottom.
When exactly
The reminder goes out when the time you chose before the appointment arrives. A reminder whose time had already passed when the appointment was booked, or comes within the half hour after — a day-before reminder for a booking made for the same evening, say — isn’t sent for that appointment, since it was booked just now. That holds even when “Instant confirmation of a new appointment” is off. A reminder whose time comes later — the second one on Pro, for example — goes out as usual. Reminders go out only while the subscription is active and the bot is on.
A client says they didn’t get a reminder. Why?
Check in “Chats” what was sent. The usual reasons: the reminders or the bot are off; the appointment was booked after the reminder’s time had passed (see “When exactly”); the client turned off “WhatsApp reminders” in their Bookly profile; this month’s message quota ran out; or WhatsApp didn’t deliver (on Pro an SMS goes then).
Can I send two reminders?
On Pro, yes — up to two per appointment. On Basic, one goes out.
Do reminders count toward the quota?
Yes. Every reminder sent counts toward the monthly message quota, and so does the bot’s reply to a button tap.
