Adding staff members and inviting them to the app
Add a staff member with their own calendar, colour and services, then give them access to the business account: a mobile number and a permission, sent on WhatsApp.
Each staff member gets their own column in the calendar, a colour, hours and services. Adding someone to the team doesn’t yet let them into the business account — that’s given separately: a mobile number and a permission. The invitation isn’t sent by itself; you send it, and access opens the next time they sign in with that number, on the website or in the app — even if they already have a Bookly account.
Adding to the team
Open “Team & hours”
Services & teamTeam & hoursNext to the team, click “Staff member”.
Fill in the name, role and phone (optional), pick a calendar colour and tick the services they perform — none ticked means all services.
Click “Save”.
Giving access to the business account
On the staff member’s card, click “Give access”.
Services & teamTeam & hoursAccess to the business accountEnter their mobile number, choose a “Permission” and click “Save”.
Click “Send on WhatsApp” — a ready message opens with a sign-in link.
Only the business owner gives, changes and revokes access. Managers can add and edit staff members.
Until the staff member signs in, their card shows they’ve been invited. If they signed in with another number, fix the number in their access and send again.
Basic has one calendar. A team of more than one person is part of Pro — up to 10 active staff members, each with their own calendar, hours and services.
When someone leaves
Switch off “Active” in the staff member’s settings: they leave the calendar and online booking, no longer count toward the team limit, and their access to the business ends. Appointments already booked aren’t cancelled. If a former employee asks to delete their information, the owner can permanently delete the employee’s data from the same place.
The guided tour is in the app
In the “Team, hours and time off” chapter, the tour shows this on the screen itself, step by step.
The staff member got the invitation but doesn’t see the business
Their account needs the same mobile number saved in their access. If they’re already signed in with that number, the business appears the next time they open the app or the website; if they signed in another way, they add the number to their account or sign in with it.
Can a staff member see only their own calendar?
In the calendar, yes — the “Staff” permission sees and manages only the appointments in their own calendar. But it sees the whole client list and every client card — all the business’s clients, not only theirs. What each permission includes: roles and permissions.
